Refund and Cancellation Policy — Waarah Safaris

This Refund and Cancellation Policy applies to all bookings made with Waarah Safaris (“we,” “us,” “our”) through our website https://waarahsafaris.com/ or directly with our team. It should be read alongside our Terms and Conditions.

Because safari tours involve advance payments to national parks, permit authorities, lodges, and transport providers — many of which are non-refundable to us — our cancellation charges reflect these real, incurred costs.

  1. How to Cancel

All cancellation requests must be submitted in writing via email to operations@waarahtravel.com  The effective cancellation date is the date we receive your written request, not the date you stop using the Service.

  1. Cancellation Charges (Cancellations by You)

Unless a specific package states otherwise, the following cancellation schedule applies, calculated from the tour start date:

More than 90 days before 50%

Less than 60 days 20%

Less than 8-9 days no refund 

No-show / early departure no refund

Notes: - The initial booking deposit is non-refundable under all circumstances, as it is used immediately to secure permits, park entry quotas, and accommodation. - Charges are calculated on the total tour cost, not just the amount paid to date. - Any bank transfer fees, payment gateway charges, or currency conversion losses will be deducted from refunds where applicable.

  1. Permits and Park Entry Fees

 Many national parks and reserves require permits booked weeks or months in advance, with strict no-refund policies from the park authorities themselves. If your cancellation falls after a permit has been booked on your behalf, that specific permit cost is non-refundable regardless of the general cancellation schedule above.

  1. Refunds for Changes Made by Us

 If Waarah Safaris cancels or significantly alters your tour for reasons within our control (e.g., operational issues), you are entitled to, at your choice:

  1. A full refund of amounts paid, or
  2. Rebooking on an alternative date, or
  3. Credit toward a future tour of equivalent value

Force Majeure (Circumstances Beyond Our Control)

 If a tour is cancelled, delayed, or altered due to events beyond our reasonable control — including but not limited to natural disasters, extreme weather, wildlife-related safety closures, government or park authority closures, political unrest, epidemics/pandemics, strikes, or travel bans — the following applies:

  1. We will make reasonable efforts to reschedule your tour or issue credit for future use.
  2. Refunds in Force Majeure situations will be net of any costs already incurred and non-recoverable by us (e.g., permits, deposits paid to lodges or transport providers).
  3. We strongly recommend comprehensive travel insurance to cover such situations, as we are not able to guarantee full refunds when costs have already been committed to third parties.
  4. Refund Processing
  5. Approved refunds will be processed within 10-15  business days  of the cancellation confirmation.
  6. Refunds will be issued to the original payment method used for booking, unless otherwise agreed.
  7. International bank transfer fees and currency conversion differences, where applicable, will be borne by the traveler.
  8. Amendments and Date Changes
  9. Requests to change tour dates (rather than cancel) may be accommodated subject to availability and permit reissue costs.
  10. Date changes made  30 days  before the original tour date may be permitted at no extra charge (subject to permit and lodge availability). Changes made closer to the tour date may incur the applicable cancellation charges in Section 2, followed by a new booking.

 Non-Refundable Items

The following are non-refundable under all circumstances: - Booking deposits - Permits and park entry fees already secured - Payment gateway/bank transfer charges - Any amount for services already rendered (e.g., completed days of a multi-day safari)

  1. Travel Insurance Recommendation

We strongly encourage all travelers to purchase travel insurance that covers trip cancellation, interruption, medical emergencies, and evacuation. Many of the losses described in this Policy (e.g., Force Majeure cancellations, non-refundable permits) may be recoverable through a suitable insurance policy, even where we are unable to offer a refund.
